Project Administrator

Use your strong organization skills to help our team stay on track to better serve our customers.  In this role you will be responsible for providing administrative support for the Process Safety Management (PSM) and Refrigeration Service Projects departments within out Industrial Refrigeration business.

Independence is super important for this role. This individual must be a self-starter able to work on his/her own. He/she must be team-focused and tech savvy, and able to both identify and solve problems that come up throughout the day.

Location: Harrisonburg, VA.

Full-time, Monday through Friday.

What you’ll do

  • Provide project support for Refrigeration Service Projects department:
  • Provide project support for Process Safety Management (PSM) department:
    • PSM job setups, billings, and closeout procedures
    • Binder preparation and distribution of project deliverables to customers.
    • Create Management of Change documentation with direction from PSM Coordinator.
    • Maintain and distribute PSM Sales report on a weekly basis.
    • Run revenue reports on a weekly basis.
    • Run Incomplete Work Order report weekly.
    • PSM work order entry and completion
    • Complete Contractor Qualification and Safety Information forms for customers.
    • Distribute MSDS books and Safety Manuals as requested and incorporate updates.
    • Process job setups and change orders for approval and enter into operating system.
    • Obtain certificates of insurance for new jobs and stored materials as needed.
    • Complete submittals and transmittals as necessary.
    • Generate all project billings and required paperwork and ensure pay applications are received by customer each month.
    • Send final lien releases to customers, as required.
    • Completion of Operation and Maintenance Manuals per job specifications.
    • Permit and licensing requests as necessary.
    • Process closed job audits when projects are ready to be closed in the operating system. 
    • Creation and distribution of weekly and monthly reports, as required.
    • Create proposals for sales, as requested.
    • Handle new customer paperwork, including credit applications, as necessary.
  • Periodically travel to other ColonialWebb offices for meetings, as necessary.
  • Conduct new hire orientation for new field employees.
  • Issue purchase orders for material ordered by field employees

What we’re looking for

Preferred Requirements

  • Three to five years administrative support experience (preferably in the construction, building services or Safety/PSM industries).

Minimum Requirements

  • Two years administrative work experience supporting business or project teams.
  • General understanding of business administration and office management.
  • Ability to work independently, without direct supervision.
  • High school diploma or equivalent
  • Able to independently identify and solve problems relative to administration, coordination, and project support.
  • Advanced knowledge of Microsoft Outlook, Word, and Excel and PDF editing software
  • Strong proofreading, editing and writing skills—inclusive of proper grammar, usage and spelling
  • Ability to deal diplomatically and communicate effectively with internal and external customers.
  • Ability to perform multiple tasks accurately and in a timely manner.
  • Ability to handle a fast-paced workload and work under pressure with last minute time constraints.
  • Ability to maintain a professional demeanor and a positive attitude.
  • Excellent administrative, organization and follow-up skills.
  • Experience working in a fast-paced work environment.
