Service Coordinator

ColonialWebb is seeking a Service Coordinator responsible for scheduling, dispatching, and purchasing for customers and service technicians, as well as provide administrative support to the Service Manager.

1. Communicate effectively with customers to schedule work, provide updates on repairs and/or maintenance visits, resolve service issues, and any other duties necessary to provide the customer with excellent service.
2. Handle new customer paperwork, including credit applications, as necessary.
3. Assist with resolving customer questions or complaints.
4. Follow-up and ensure completion of all open tickets.
5. Advise Service Manager / Assistant Service Manager if technicians are unable to complete work in a timely manner, it appears they are having difficulty solving a problem, or if field personnel are unable to meet workload requirements.
6. Advise Service Manager / Assistant Service Manager of technician/coordinator problems, cases where a technician fails to report to work, or respond to a call.
7. Receive and review all service work orders for accuracy and index in OnBase on a daily basis.
8. Resolve all billing errors by end of week.
9. Issue Purchase Orders for material ordered by field employees.
10. Maintain Apprenticeship program website.
11. Run regularly scheduled reports.
12. Conduct new hire orientation for new field employees.
13. Other administrative duties as requested.

Requirements:

1. Knowledge of Microsoft Outlook, Word, and Excel and Adobe Professional
2. Must possess a strong command of the English language, inclusive of proper grammar, usage, and spelling.
3. High school diploma or equivalent
4. Ability to deal diplomatically and effectively with customers and other employees.
5. Communication and phone skills
6. Must be able to work independently, accurately and timely and with minimal supervision
7. Capable of maintaining a high energy level to handle our dynamic, fast-paced workload
